What personal data AI Guru Agent handles, why, who it is shared with, how long it is kept, and the choices you have.
Who this policy covers
AI Guru Agent ("we", "us") lets businesses build an AI chatbot trained on their own website, files and answers, and put it on their website. This policy explains what personal data we handle and why, for two groups of people:
Our customers — the people who sign up for AI Guru Agent and their teammates. For this data we decide how it is used.
Visitors of our customers' websites who chat with a chatbot built on AI Guru Agent. That business decides what its chatbot collects and how long it keeps it; we process the data on its behalf. If you chatted with a chatbot on another company's website, that company's own privacy notice applies, and it is the best place to send a request about your data. We will help it answer.
What we collect from customers
Account details: your name, email address, time zone and password. Passwords are stored only as a one-way hash, never in readable form.
Team details: the teammates you invite, their roles and the chatbots they can use.
Your content: the website pages we read for you, files and text you add, Q&A answers, and your chatbot settings.
Billing records: your plan, subscriptions, top-up purchases and invoices. Card and bank details are entered on our payment provider's page and are not stored by us.
Usage and activity: how many AI answers each account uses, and an audit log of changes made in the account (who changed what, and when).
Your agreement to these terms: when you sign up we record which version of the Terms and this policy you accepted, when, and from which IP address, so we can show what was agreed.
Technical data: IP address, browser type and error logs that our servers record when you use the service, used to keep it running and secure.
What a chatbot collects from website visitors
When a visitor uses a chatbot built on AI Guru Agent, we store on behalf of the business that runs it:
The messages the visitor sends and the answers they receive, including any conversation with a person from that business.
The page the chat was started on, the page the visitor came from, and the browser type.
A random visitor identifier saved in the visitor's browser storage, so the same chat continues when they move to another page.
Contact details, only if the visitor chooses to fill in the chatbot's form (for example name, email address, phone number or company, depending on what the business asks for).
Ratings of answers, if the visitor gives one.
Each business chooses how long its chatbot keeps conversations (from 7 days to 10 years, or until the business deletes them). Visitors should not share sensitive information such as health details or card numbers in a chat.
How we use data
To run the service: read your content, answer your visitors, show your inbox, leads and analytics, and send the alerts and emails you ask for (password reset, team invitations, handoff alerts, weekly summaries).
To bill you and keep records that the law requires.
To keep the service secure, prevent abuse and fix problems.
To answer your support requests and tell you about important changes to the service.
We do not sell personal data, and we do not train AI models on your content or your visitors' conversations.
How AI answers are made
To answer a question, we find the most relevant passages of the business's own content and send them, together with the question and the recent conversation, to an AI model provider, which returns the answer. Your content is also sent to an AI provider once, when it is added, to build the search index. Under their API terms, these providers do not use data sent through their API to train their models by default.
AI answers can be wrong. Each business can review what its chatbot says, add its own Q&A answers, which always take priority, and hand a conversation to a person.
Who we share data with
We share data only with providers that help us run the service, and only as much as they need:
Amazon Web Services — hosting, storage and the databases that hold the data.
OpenAI — the AI models that write answers and build the search index.
Razorpay — payments for paid plans and top-ups.
Our email provider — to deliver account emails and alerts.
If you connect another service yourself, such as Zapier or your own webhook, we send it the events you chose. We may also disclose data when the law requires it, or to protect the rights and safety of our users or others.
These providers may process data outside your country, including in the United States. Where the law requires it, we rely on safeguards such as standard contractual clauses for those transfers.
Cookies and browser storage
The dashboard keeps you signed in using your browser's storage. The chat widget uses browser storage to remember an open chat and to avoid showing its greeting twice. We do not use advertising or third-party tracking cookies.
How long we keep data
Account data and content: for as long as the account exists.
Visitor conversations: for the period the business set for its chatbot, or until the business deletes them.
When an account is deleted, its chatbots, conversations, content, leads and account records are deleted, and any subscription is cancelled. Your login itself stays so you can still use other accounts; ask us if you want it removed as well.
Billing records are kept for as long as tax and accounting law requires.
Your rights and choices
Depending on where you live, you may have the right to see the personal data we hold about you, correct it, delete it, receive a copy of it, object to or limit how we use it, and complain to your data protection authority.
People who manage an account can download all of its data as one file, and delete the account, from Settings → Data & privacy in the dashboard.
You can change your name and time zone in your profile at any time.
For anything else, contact us through our contact page. We may need to confirm who you are first.
Website visitors: please contact the business that runs the chatbot. We will help that business answer your request.
How we protect data
Each account's data is kept separate from every other account. Teammates get exactly the permissions their role allows, every change is recorded in the account's audit log, passwords are stored as one-way hashes, and connections between your browser and the service use HTTPS. No system is perfectly secure; if a breach affects your personal data, we will tell you as the law requires.
Children
AI Guru Agent is a business service for people aged 18 and over. We do not knowingly collect personal data from children. Businesses must not use their chatbot to collect data from children without the consent the law requires.
Changes to this policy
When we change this policy we publish the new version here with a new effective date. If a change is significant, we will also tell account owners by email or in the dashboard before it takes effect.
